MS Office documents bring print settings to different computer

I have a user who has received MS office documents and when they print them, they use what I assume are the preferences from of the creators machine. I.e. the creators print preferences was to send the print to tray 2, which in our case is letterhead - definitely not where we want it printed.
Similarly, some of the files this specific user has created that they have then passed along to other persons (in my company), the preferences from my creator/user stick with the document instead of using the recipient's print preferences.
I.e. - original user's preferences sent the job to printer box 1, and the recipient's preferences sends to box 15.Anyone seen this before?

Are you unable to override the settings when printing? I know you can embed fonts but had not considered embedding any other setting as the variance in printers doesn't make sense (to me anyway).

We can override, it's just that these settings that were part of the printer preferences of Windows somehow became sticky inside the Office document file, regardless of machine - that's something I've never seen before, and I would like to turn it off wholesale if possible.

@dashrender I remember something about this when we upgraded to new Xerox copiers and drivers across our footprint. Per my notes it can be turned off individually but did not find a fix for it en masse. In the document, go to File, Options, Advanced, scroll down to Print and make sure default tray is set to "use printer settings", save the doc and then share it.

Because of this problem, I now have to change things on our main printer. The creator had a password protected "box" on the printer that they sent their jobs to. Once they resigned, I unassigned the box, removed the password.
Recently I assigned this same box to a new person (mary) - shortly thereafter this new person discovered something that was not there when they printed out the contents of their print box.... This is what lead to the discovery that, in this case, Excel was sending the job to the original creator's print box, not the print box belonging to the new finance manager - completely ignoring the printing preferences set on the finance manager's profile.
I've had to move mary's box to another unused print box number, and then assign a name - admin share and password protect it to prevent future mishaps from sending potentially confidential documents to that box - actually they'll still be sent there if this problem persist, but only the finance manager will have the password for it.

This is absolutely the issue.
Though they don't mention Excel 2016 - The version I have. -
This problem sounds familiar.
It's not a normal.dot type problem is it? Where the originator used normal.dot as their doc tempate, saved it as .dot again and it's screwing up everyone's normal.dot that reads / alters the document.
